Small Business Document Management Software Purchases Are Not To Be Taken Lightly
By: Clara Stone

Small business document management software purchases are not something to be rushed into, but you’ve made the decision, and you are going to update your company’s current document management system to use new software. Now, you’re wondering what some of the key features that you should look for that will really give you an advantage from a paper based solution other than the obvious savings in printing time.

What Are Some Key Features To Look For In Small Business Document Management Software?

One of the key features you should look for in the software is Optical Character Recognition (OCR). What optical character recognition does is read your paper documents, and opposed to simply scanning them, records every character allowing you to easily search through the documents. The search capability is one of the key benefits of document management software and it’s benefits are greatly increased through OCR.

Another key feature is whether or not the software is server based. If you need multiple computers to access the document management system then you will definitely want a server based solution. The last thing you want is to have employees waiting to use a single computer containing all your documentation. Having a server based solution will allow you to use one computer as a server, and access the system from other computers.

The third key feature you will want to look for is whether or not the system allows for web access. With web access you will be able to access your documents from anywhere. Just imagine no more trips to the office to get a single document. This can be a huge time saver. You will definitely want to consider if this could be a helpful feature for your business.

The fourth thing that you should look for is that there is a solid support network, and ideally other small business owners using the software. As a small business it is even more important than in a large business that you don’t waste unnecessary consulting fees. Look around on forums, or on the developer’s website to see if there is some sort of discussion group. If you can find other owners who will answer questions and give advice this can be of great help.

The fifth thing to look for is the frequency and cost of updates to the software. You don’t want to choose software that will be abandoned by the developer and end up not working in the future. Look for an established company that has been updating their software on a consistent basis. Unfortunately there are many fly by night companies that create document management software.

The final thing to look for that I will mention in this article is usability. Ideally you’d be able to test the software and see for yourself how intuitive it is. If all you’re looking at is screenshots then you may want to ask around, either on the document management software reviews site, or in online forums if there are any current users. You need to consider that some members of your team may be looking at these screens for hours every day.
